What is a waybill?
A waybill, sometimes called a bill of lading, is a document sent when a product is being shipped. A waybill includes information about the number of parcels, weight and measurements, address of the receiver, and so on.
A waybill is also a form of proof that shipping has been agreed between the sender and receiver. For the receiver, it can also serve as a form of order confirmation (even though an order confirmation is usually sent when an order is placed).
The importance of a waybill
A waybill includes information required for the order to end up in the right place, when shipping internationally as well as within Sweden.
If the product is sent from abroad, the waybill is checked by customers who decide if the parcel can continue on its journey. At this stage, any relevant taxes are also added.
As a business owner it’s easier to use one system for all types of shipping. By using automated features you can, for example, pre-program shipping labels using the sender’s address and standard sizes for various types of parcels, etc. It should also be easy to create, print and check all waybills.
The responsibilities of the sender
As the sender, it’s important that you carefully fill out the details of the waybill in the right way. This is also true for the shipping list, which serves as a receipt stating that the shipping company has received everything included in the shipment.
The barcode is also important to point out, as the text on the waybill is not sufficient information. A clearly visible barcode is required. It should not be covered, making it unreadable.
The following details should be included on the waybill
- Name and address of the sender/receiver: company/private individual
- Parcels: Number of parcels/units
- Contents: For customs and for sensitive substances
- Fragile items: For sensitive products
- Weight: Per parcel or total weight
- Volume. Parcel length, width and height
- Delivery notice: Specific instructions (entrance code, floor)
- Parcel type: The type of parcel (rube, box, bag)
- Payment: Who pays for shipping?
- Shipping/transport company: Name of the shipping company
