Get Portal Business for your company

It only takes a few minutes to sign an agreement with PostNord and get a business account in Portal Business. In Portal Business you’ll have access to business tools like Track & Trace and Skicka Direkt Business.

You need to be able to sign on behalf of your company or have the approval of someone who is, in order to sign the agreement. If you don’t have this permission at the moment, schedule a demo instead and we can work out the rest later.

How to use Track & Trace in Portal Business

Keep track of all company shipments using Track & Trace

With Track & Trace you can always see where your shipments are and where they’re headed. The service automatically reads all parcels sent from the company, and all shipments coming to the company. You can also adapt and adjust specific searches, to keep an eye on select types of shipments that are important to you.

You can also change information related to a shipment, should the need arise.

How to search for a shipment

With Track & Trace you can track parcels based on various criteria and set filters to view certain types of shipments. It’s up to you if you want an overview of all incoming or outgoing shipments, or search for specific shipments. For example, you can search by shipment ID, your own order reference, or the name of the receiver. With each shipment comes detailed information about the shipment and its journey to the receiver.

  • In the search field you can search for unique shipment numbers or the order reference.
  • Change the date to view past shipments.
  • ‘EDI’ are the shipments that have been registered, but not yet received at a terminal.
  • ‘Outgoing’ are the shipments that PostNord has received from you and which are now on their way to your customers.
  • ‘At servicepoint’ lists the shipments that are ready to be picked up in parcel collection boxes or at agents.
  • Under ‘Delivered’ you’ll see all shipments that have been delivered to customers.
  • View the shipments that are on their way back because the maximum hold time has expired.
  • By clicking on any one of your shipments you can view the following:
    Tracking – detailed information about the shipment’s journey and where it is now.
    Actions – Here you can send a message to your customer, create claims or request changes to a delivery.
    Information – details about the parcel, like weight, service type and what is included regarding the delivery of the parcel.

Search for parcels using your own filters

If you need to frequently search for shipments to a specific country, or parcels containing a specific product, for example MyPack Collect, you can create a template with your own filter and save it with a name of your choice. You can then reuse the filter again and again, as a unique view that shows you only what you want it to show. This way, you can work efficiently and proactively with your deliveries.

Generate QR returns for domestic shipments

When you use MyPack Collect, MyPack Home or Varubrev you can request a QR code for returns, to send to your customer for example by e-mail or SMS. All that is required is that your customer has a smartphone.

When the parcel is tracked: actions and changed disposition

When you click on ACTIONS for a specific shipment you’ll see a number of actions you can take, for example to notify the receiver. Exactly what you can do depends on the service used and where the shipment is in the transport process. You can create a claim, inform the receiver by SMS or e-mail, contact customer support, and make changes within what is known as “change of disposal”, which includes::

  • Change the name and address of the receiver.
  • Change phone number or e-mail.
  • Request home delivery of the parcel.
  • Increase the hold time.
  • Request a return of the shipment.

Events

Tracking information can be presented in 4 different ways, making it easier to see what notifications have been sent to the receiver and what transportation events have taken place during the parcel’s journey. You can also set filters to see if any changes have been made (changed disposition).

You can choose to look at:

  • Transport events
  • Changes made
  • Notifications to receiver
  • All delivery events

Other than this you can easily reach out to customer support from the same view, or write a comment for your own sake or to your team.

Shipment details

Information about the shipment where you can view everything from customer number, the service used, and add-on services as well as the size of the parcel.

Here you can view height, width, length and weight of the tracked parcel. You can see the estimated delivery time, and once the parcel has been delivered you’ll see the actual delivery time.

Even ordered add-on services such as home delivery and notification to the receiver can be viewed here, making it easy to offer loyal customers the same service even if you book a shipment manually.

In this section you can also change the hold time at the agent/collection point from 7 days to 14 days, if you suspect that the customer needs more time to collect their parcel.

Receiver

Receiver details is where you can change who the receiver is. You can also send notifications to the receiver (ready-made texts to remind them to collect the parcel, for example).

These are the same actions available in the actions menu.

Receiver details that you can change for a tracked parcel:

  • First name
  • Last name
  • Street address
  • Zip code
  • Phone number
  • E-mail address

Sender

Sender details are generally your company address and the information you have entered in your account. This is included to easily inform the receiver of where the parcel comes from.

If the receiver tracks their parcel using the tracking number, they will instantly see who the sender is and know the size of the parcel expected from your company, and when it’s expected to arrive.

Contacting customer support is also possible in the section that normally shows the delivery details, and it’s super easy to add documents or photos.

In Track & Trace you can also chat with customer support.

You can enter your own notes on each shipment in Track & Trace. These comments are only visible to the sender and not to the customer. This helps if the customer is a return customer, or if you want to enter your own notes for future reference.

What parcels can I track?

All parcels sent with PostNord Portal Business are trackable. All parcels sent to you using your customer number are also trackable to you in the same tool.

What information do I get with parcel tracking?

You can see where the parcel is at the moment, when it’s expected to be delivered, if anything out of the ordinary has happened (for example a delay), and what the receiver address is. You’ll also get details like the measurements and weight of the parcel.

How do I search for parcels in PostNord Portal?

Log in and select the feature Track & Trace. You can now search for all outgoing and incoming parcels by date, receiver name, shipment ID, and more.
